23/24 CONVENTION FEES

AGE LEVELS

  • All ages are determined as of January 1st, 2024.
  • ​Studio Owners/Directors may place their dancers in the level they feel is appropriate to their student’s skill level, even if it is different than their age. However, dancers MUST participate in the Scholarship Audition based on their age as of January 1st, 2024. Dancers ages 21 and up are not eligible to audition for scholarships.
  • Each dancer is allowed one level change per event (if space permits) which must occur by the end of the 2nd class on the first full day of convention classes. Visit the Registration Booth or Merchandise Booth to exchange your wristband.

 

GENERAL RULES

  • Attendees are not required to participate in the Performance Showcase, however, if you choose to participate in the Performance Showcase you must be registered for the full convention.
  • NEW! Dancers that attend a studio, but are attending ASH without the studio, must have the studio complete their registration under the studio account prior to the event.
  • Dancers may either register with a studio or as an independent dancer. When registering, type “Independent” when asked to provide a studio name.
  • We suggest registering as soon as possible due to limited space. Once capacity is reached, registrations will no longer be accepted.
  • Wristbands must be worn during all classes and cannot be transferred.
  • Observers may NOT be studio owners, teachers, or dancers and are only eligible to register with participating dancers. Observers are not permitted to observe Teacher Classes or Scholarship Auditions.
  • It is strongly urged that you make your hotel reservations well in advance to avoid a sell-out. Please visit the city page of the event you are attending where you will find all hotel information. If calling the hotel, please be sure to mention ASH Productions when you make your reservations to receive the discounted room rate.
  • Photography and Videography at ASH Productions events are STRICTLY PROHIBITED! Photos and Videos will be available for purchase at www.ASHPhotoVideo.com

 

ARRIVAL/DEPARTURE

  • Open Classes will begin late in the afternoon on Friday. However, if ASH receives a large number of routine registrations, Performance Showcase can begin as early as 7:00 am on Friday. Once capacity is reached, studios who register after capacity has been reached may be given the option to perform some or all of their routines on Thursday.
  • The Closing Show will generally begin around 1:00 pm on Sunday. We advise planning for the event to end by 4:00 pm on Sunday

 

MINI MOVERS

An introduction to the dance convention experience, Mini Movers is designed for Ages 3-7 and includes one complimentary Observer band (for a parent/guardian) that can be used for Mini Movers classes only and does not grant Observer access to any other ballroom, and ASH swag. In select cities, all Mini Movers peform at the start of the Showcase on Saturday on the ASH stage!

SPECIAL CLASS DESCRIPTIONS

OPEN CLASSES

All registered dancers (ages 7+) are eligible to attend Open Classes. You must have your wristband on to attend class, however scholarship numbers are optional.

TEACHERS

Join ASH Faculty and Colleagues for lunch and receive your free, limited edition, ASH teacher merch! Exciting, informative and interactive, our teacher training seminars with the ASH Faculty will leave you feeling inspired and refreshed!

COLLAB CLASS

Join the entire event Faculty for an exciting close to the weekend! Each Faculty member will teach two 8 counts and combine them together to create one fun, collaborative combination to wrap up the event!

PARENT CLASS

Parents, it’s time to show off your moves! Join an ASH Faculty on Saturday to show your kids exactly how Mom AND Dad get it done!

 

SCHOLARSHIPS & SCHOLARSHIP AUDITION

Scholarships are based on the Regular Rate, NOT the Early Bird Rate.

NEW! While students are eligible to receive multiple scholarships if they attend multiple events, each scholarship may only be used once per season. (Example: Jane Doe attended 3 events in the same season and received the ASH Apprentice scholarship at one event, and ASH Apprentice Runner Up at each of the other two events. Only one ASH Apprentice Runner Up may be used the following season.)

 

theCOMPANY Intensive on Tour

theCompany Intensive on Tour was born out of theCompany Intensive at Nationals. Working closely with ASH Faculty Choreographers in a rehearsal setting is a valuable opportunity for growth. All registered dancers that attend the specified open class are eligible to be selected to work with an ASH Faculty member to learn an original piece that will be performing in the Closing Show. Please check the event schedule for exact class information. If selected, dancers must attend rehearsals on Friday evening, Saturday mid-morning and Sunday morning before convention classes begin.

All dancers chosen to perform must purchase the exclusive piece of theCompany Intensive Merchandise only available to those selected for theCompany Intensive piece by the Sunday morning tech rehearsal. This exclusive piece of Merchandise is available at the Merchandise Booth

If a routine is scheduled for the Performance Showcase on Friday night during Open Classes/ theCompany Intensive On Tour rehearsal, routines will NOT be rescheduled.

Teachers, Studio Representatives, and observers may NOT be in the ballroom during rehearsals.

 

COSTUMES

GIRLS:Please bring a pair of black leggings or sweat pants (no patterns/ ASH logos are okay) and a black top (t-shirt, tank top or crop top).

MEN:Please bring a pair of black sweats (no patterns/ ASH logos are okay) and a black top (t-shirt or tank top).

 

DISCOUNTS

TEACHERS

Teachers are free at ASH! Once you’ve completed your registration, email the ASH office at info@ashproductions.com and we’ll apply your free teachers to your registration! Keep in mind that teachers also must fill out a waiver at www.ASHWaiver.coom

 

STUDIO HOTEL ROOM DISCOUNT

  • Hotel Rooms will only be reimbursed by filling out the Hotel Room Discount Form linked below.
  • All offers exclude any student on scholarship, one-day dancers, multi-city discount, or need-based scholarship.
  • Hotel Room nights will only be reimbursed at the group rate listed on the website. Upgrades or rates above the room block rate will not be honored.
  • Rooms booked at other hotels or rooms reserved outside of the ASH room block are not eligible.
  • ASH Productions cannot guarantee that the room block will not be sold out at the time of booking. It is the responsibility of the Studio Owner or Teacher to reserve room(s) at the host hotel under the ASH room block. ASH does not accept any responsibility to reserve or hold hotel rooms.
  • Hotel Rooms must be reserved prior to the cut-off date on each tour city page.
  • Hotel Room nights will be reimbursed via check once a receipt from the host hotel is submitted via email to info@ashproductions.com within 30 days at the conclusion of the event.
  • All discount reimbursement checks will be sent within 30 days of the date on which the host hotel receipt is received by ASH Productions, made payable to the studio, and sent only to the name and address provided in the online registration account.

 

 

MULTI-CITY DANCER DISCOUNT

All dancers and teachers attending more than one ASH regional city in the 2023-2024 season will receive a 50% discount on tuition for each additional city. The Multi-City Discount does not apply to the first event you attend in the season.

*Multi-City Discounts do not apply when using a scholarship. Discounts and Scholarships cannot be combined.

 

NEED BASED SCHOLARSHIP

ASH Productions offers two need based scholarships per tour city. To receive a need based scholarship, must submit THIS FORM which includes an essay about why you feel a weekend at ASH would benefit you and your future in dance. 

 

PAYMENT

ASH accepts Visa, Master Card, Discover, American Express, checks or money orders. Checks or money orders must be postmarked before the Early Bird Discount Deadline in order to secure the Early Bird rate. If a check is returned, you will be assessed a $30.00 fee. Only cash and credit cards are accepted when registering at the door or paying a final balance upon check-in at Registration. *All funds must be paid in U.S. currency only. No International, Canadian or Foreign checks will be accepted.

 

REFUND POLICY

Unless ASH is forced to cancel due to Acts of God, CDC, local, state, or federal government mandates, ASH will not provide a refund under any circumstance. If the event is held and a dancer cannot attend due to injury or illness, you must contact the ASH Office at least 24 hours prior to the start of the event. ASH will issue a credit statement to be used up to one year from the date of issue for convention and/or performance showcase fees provided the dancer submits a doctor’s note within 30 days via email to info@ashproductions.com.

 

FREQUENTLY ASKED QUESTIONS

When will the schedule be released?

All Event Schedules, Performance Showcase Schedules, and Welcome Packets will be released exactly one week prior to the event by the end of the business day. No information will be available prior to the release of that information. Please do not contact ASH before then about scheduling information.

 

How do I apply to the scholarship I received?

If a scholarship is eligible for use at the event, the green “Add Scholarship” button will appear next to the name of the student you have registered. Scholarships cannot be applied after payment has been made. No refunds will be provided for unused or unapplied scholarships. If you have any questions about the scholarship you received, visit the city page of the event you are attending to view the results from the previous season or contact the ASH Office via email at info@ashproductions.com.

 

If I am not present for Closing Show, how do I pick up my Scholarships and Showcase Awards?

ASH does not mail Scholarships and Showcase Awards. You must be present at the event to pick up the scholarship or award. Reminder, ASH keeps records of all scholarships and awards so you do not need the physical scholarship or award to register.

 

I need to makc changes to my registration, but the system won’t let me. What do I do?

If you have already “Submitted” your registration or if the event is sold out, your registration is closed and you cannot make any further changes. Email the ASH Office at info@ashproductions.com to request any changes.

 

How do I fill out the waiver?

All attendees, including owners, dancers, and teachers must fill out a waiver. Keep in mind that the spelling of the name and the date of birth must match exactly what was entered into the registration account. Visit www.ASHWaiver.com or click the link in the main menu above to fill out your waiver.

 

Can I register without my studio under my studio name or as an independent?

ASH accepts Studio and Independent registrations. It is up to your contract with your studio as to how you are allowed to register. When registering as an Independent, type “Independent” when asked to provide a studio name. Keep in mind that Independent registrations are subject to an additional registration fee in the 23/24 Season.

 

If I change studios, how can I register with my scholarship?

Scholarships are jointly owned by the student and the studio so that the studio cannot reassign the scholarship to another student and the student cannot use the scholarship as an Independent or under another studio. The student must obtain written consent from the original studio in order to use the scholarship as an independent or under another studio. ASH will not offer to obtain such written consent on behalf of the student. Written consent can be sent by the studio via email to info@ashproductions.com.

 

If I change studios, how can I register with my Performance Showcase Award Voucher?

Performance Showcase Awards belong to the studio and are not assigned to a specific dancer. Performance Showcase Awards cannot be transferred to another studio registration or to an independent registration. The student must obtain written consent from the original studio in order to use the Award as an independent or under another studio. ASH will not offer to obtain such written consent on behalf of the student. Written consent can be sent by the studio via email to info@ashproductions.com.

 

Can I register for a level that doesn’t match my age?

Your studio account owner is the only one who is able to request a level change to a level that may be more suitable to your current skill level. The studio account owner can contact us at info@ashproductions.com to request a level change. Remember, in order to be eligible for scholarships, you may only audition with your age level.

 

Since I registered before the Early Bird Discount Deadline, why is my half scholarship $165 instead of $145?

All Scholarships are based on the regular rate of $330.00 because discounts, like the Early Bird Discount, and scholarships cannot be combined.
